BCCLS Delivery Task Force Meeting

Monday, April 30, 2018 - 2pm

Call to Order:

The meeting was called to order at 2:07pm by Stephanie Bellucci, Chair.

 

Attendance:

  1. Small Group Meeting Prep

    1. All but about ten libraries are registered for DTF's small group meetings. Haworth and Hawthorne are full. Park Ridge had a low turnout, but Darlene has confirmed it is up to six non-committee members. Rochelle Park will attend, as delivery will affect them when they rejoin BCCLS. Englewood's interim director cannot make it and will send a staff member in her place - approved by task force.

    2. Darlene will send handouts to the DIRECTORS listserv tomorrow. Handouts include an agenda, glossary of terms, infographics, and a link to a statistical spreadsheet.

    3. DTF members will discuss the findings from Stephanie's query regarding staff vs. patron expectations of delivery. For the most part, they were very consistent and included things like consistent delivery times and reasonable in transit times for items. We will reiterate that issues with TForce must be directed to LibraryLinkNJ now that we are back to the statewide delivery service.

    4. Mike Grgurev stepped in and presented a sample infographic he developed about delivery volume in terms of item breakdowns and cost. Members noted a few corrections, which he will make before Darlene sends out the handouts.

    5. Sarah praised the high level of adaptability displayed by library staff across BCCLS during the delivery debacle. This compliment will be relayed at the small group meetings too.

 

  1. Future Concerns

    1. A contingency plan is needed should statewide delivery fail again. Even if it doesn't, BCCLS libraries may have to contribute money in the future to fund delivery if LLNJ structures the service differently or loses funding. Kurt suggests that a separate addendum may have to be added to the 2019 BCCLS budget that would serve as delivery funding from libraries if needed. This would be voted on by the System Council separately from the budget.

    2. Adele reminded the group that the current LLNJ contract is only valid through December 2018, and LLNJ will be reopening the RFP process in the fall.

    3. If delivery is added to the BCCLS bill, it would most likely be a flat price per stop. Based on our current costs, it may come out to approximately $6,500 per library (based on $600,000 total cost for delivery). This would affect BCCLS libraries regardless of what other increases or decreases they see under the new billing formula.

    4. Adele noted that the future of LLNJ is very unclear at this point. We do not know if it will continue to exist past the 2019 fiscal year.
