BCCLS Delivery Task Force Meeting

Wednesday, January 16, 2019 - 1pm

Call to Order:

The meeting was called to order at 1:07pm by Stephanie Bellucci, Chair.

  1. Introductions

    1. Because several members of the BCCLS Policies & Procedures Committee were present, everyone introduced themselves. Dave Hanson introduced Christine Zeni, the new BCCLS Delivery Manager, who started work on Monday.

    2. Stephanie and the rest of the task force quickly brought Christine up to speed on its recent actions.

  2. Stephanie asked Dave for his input on the timeline of implementing BCCLS delivery and how the task force should be involved.

    1. Christine will visit RCLS to see their setup and workflow. She will also visit some BCCLS libraries to get an idea of space for bins, packing, etc. Eric and Mike are developing reports for Christine to better understand delivery volume - these will reflect years past, as 2017 and 2018 were anomalies. They will show peak (summer) volume. Christine will then write up a detailed plan, hopefully by late March, and submit it to the DTF.

    2. Christine brought a bin prototype to share with the group. This is revised somewhat from RCLS' bins but follows the same basic idea. There was some discussion over whether the bins nest or not - they stack but do not nest.

    3. Because LLNJ's future is uncertain beyond June 30, Dave stated his goal is to have BCCLS delivery operational by May. This will allow time for adjustment in advance of the summer rush. April will most likely involve practice runs.

    4. Some thought must be given to how to handle JerseyCat requests following June 30. This will be a local decision by libraries, but DTF and possibly P&P can provide input or a recommendation. This will be part of the delivery timeline sent out by DTF/the BCCLS Office.

    5. Kurt reminded the group that this timeline coincides somewhat with the BCCLS Office relocation, so it is important balance getting things done quickly vs. being realistic.

      1. Dave and Eric have identified 12 potential warehouse locations. They will investigate further.

      2. Dave feels the delay in moving the BCCLS Office was a result of extenuating circumstances and does not anticipate the same issue with the warehouse space.

      3. Kurt suggested starting with one route for testing if this step winds up taking longer than predicted. Vans can still be purchased and perhaps stored at libraries with extra parking if needed.

    6. Polaris has to be optimized for regionalized picklists. Mike and Eric are working on this.

    7. The survey Mike developed regarding how many bins libraries will need has not yet been sent out. Christine will take care of this, now that it's getting closer to their purchase time.

 

Adjournment: Stephanie adjourned the meeting at 1:40pm. A joint meeting with Policies & Procedures immediately followed.
