C 6: Deleting an Item Record

Deleting an Item

Description:

Sometimes, a mistake has been made during the linking process and it may be necessary to delete the item.

ALERT!

Please remember that if you are withdrawing items as part of your general weeding or collection housekeeping, you must mark the items as Withdrawn .

Note:

Please refer to section C7: Withdrawing an Item Record of the manual for instructions.

Instructions:

  1. Use the Item Record Find Tool to search for an item record you wish to delete from your collection.

    Note:

    Please refer to sections B1: The Polaris Find Tool – Overview  and  B2: The Polaris Find Tool - Item Records   of the manual for instructions on how to access and use the Item Record Find Tool to retrieve item records.


  2.   To search for the item record you wish to delete, enter your search term(s) in the For field.



  3. Hit ' Enter ' on your keyboard or the Search button to execute your search.



  4. From your search results, select the item you wish to delete from your collection. This will open the Item Record workform.



    Note:

    While it is possible to delete the item record directly from the find tool results by right-clicking and selecting Delete , you should confirm that the item being deleted is the correct choice by selecting the item from the search results.



  5.   Once you have confirmed that this is the item you wish to delete, click the Delete icon, or type CTRL+D on your keyboard, or select File , Delete .



  6. A confirmation pop-up will appear.



  7. Click ' Yes '.

  8. If the item being deleted has any links (ex. the item was part of a record set, there are fines, etc.), you will be prompted and asked to continue.


    Tip: Deleting Items

    Deleting an item will not remove any patron fines associated with the item, nor will fines prevent an item from being deleted.  



  9. Click ' Continue Deleting '.

  10. The Item Record workform will close, indicating that the item has been successfully deleted.

Undeleting an Item

Description:

A deleted item can be undeleted.

Instructions:

  1. To retrieve a deleted item record, search for the item record using the Item Record Find Tool .

    Note:

    Please refer to sections B1: The Polaris Find Tool – Overview and B3: The Polaris Find Tool – Item Records for instructions on how to access and use the Item Record Find Tool to retrieve item records.


  2. In the Item Record Find Tool , set the Limit by field to Record status and select Deleted from the Values field to search for the deleted item record.


  3. From the Item Record workform of the deleted record, click the Undelete icon or type CTRL+U to undelete the record.



  4. A confirmation pop-up will appear.



  5. Click ' OK '.
