D 6: Registering Non-Resident Cards

Registering a Courtesy Patron

Description:

Registering a Courtesy patron follows the same procedure as registering regular patrons, but with minor adjustments.

Note:

Please refer to section D2: Registering a Patron of the manual for instructions on how to register patrons.

Instructions:

To register Courtesy patrons, please make these adjustments to the registration procedure.

 

ALERT!

Be sure to alter physical library card (preferably scannable barcode or human readable number) so that it is recognizable as a non-standard issue library card.

 

  1. Enter the Barcode, Last name, and First name in the appropriate fieldsYou may also add a Middle name (if applicable), but be sure to add (COURTESY) in the Middle name field, either after or in lieu of the middle initial or name.

  2. The Registered at library should read your library.

  3. Select Courtesy from the Patron code drop-down menu.



  4. Move to the Expiration section and set the Term to 1 year by selecting number 1 from the first of the Term fields.



    The date field should reflect 1 year from the date of registration.

  5. Click the Add button in the Addresses, Phone Numbers section to add the patron's address.

  6. Enter the patron's home town zip code in the Postal code field to automatically generate the Country, City, County, State/province fields.  Enter the patron's street address.



  7. Proceed to complete the form by entering phone number, notification preference, email address, etc.

  8. Click on the General icon to change the New Patron Registration workform view from the Address and Phone view to the General view.



  9. Select the patron's county and town from the Statistical class drop-down menu.



  10. Move to the Password field and enter a password for the patron to use when accessing their account online.  Polaris requires data in the password field in order to save the record.



    Note:

    A password can have from 4 to 16 characters and can contain letters and/or numbers.



  11. When you are satisfied with the patron record you have created, click the Save icon, or type CTRL+S on your keyboard, or select File, Save.



  12. Polaris will now perform a duplicate patron check.  Polaris will check the patron's full name, phone number, and email address for matches.  If the check yielded possible duplicates, the Duplicate Patrons pop-up would appear.



  13. Select an entry and either double-click or right-click, and select Open to investigate.

  14. If you are satisfied that none of the duplicate possibilities match the patron you are registering, click Continue to save the patron record.

  15. The next step is to add a Block to the patron record which will yield a pop-up during a circulation transaction that must be acted upon before proceeding.

    Note:

    Please refer to section D7: Patron Notes and Blocks of the manual for instructions on adding and editing Blocks.



  16. Click F9 on your keyboard to change the patron registration workform to the Patron Status view.



    Note:

    Please refer to section D1: Patron Registration and Status Workforms Overview for instructions on how to navigate between the Patron Registration and Patron Status workforms.



  17.  Click on the General icon to change the Patron Status workform view from the Items Out view to the General view.



  18. Move to the Block field and click the Add button.

  19. The Patron Block pop-up will appear. 



  20. Select the Free text radio button and enter [Library] Use Only (e.g., Fort Lee Use Only) in the Free text field.



  21. Click 'OK'.

  22. When you are satisfied with the block you have created, click the Save icon, or type CTRL+S on your keyboard, or select File, Save.



  23. Polaris will now perform a duplicate patron check.  Polaris will check the patron's full name, phone number, and email address for matches.  If the check yielded possible duplicates, the Duplicate Patrons pop-up would appear.



  24. Select an entry and either double-click or right-click, and select Open to investigate.

  25. If you are satisfied that none of the duplicate possibilities match the patron you are registering, click Continue to save the patron record.

Registering a Pay Patron

Description:

Registering a Pay patron follows the same procedure as registering regular patrons, but with minor adjustments.

Please refer to section D2: Registering a Patron of the manual for instructions on how to register patrons.

Instructions:

To register Pay patrons, please make these adjustments to the registration procedure.

 

ALERT!

Be sure to alter physical library card (preferably scannable barcode or human readable number) so that it is recognizable as a non-standard issue library card.

 

  1. Enter the Barcode, Last name, and First name in the appropriate fieldsYou may also add a Middle name (if applicable), but be sure to add (PAY) in the Middle name field, either after or in lieu of the middle initial or name.  

  2. The Registered at library should read your library.

  3. Select Pay from the Patron code drop-down menu.



  4. Move to the Expiration section and set the Term to 1 year by selecting number 1 from the first of the Term fields.



    The date field should reflect 1 year from the date of registration.

Registering an ReBL Patron (Essex County Libraries Only)

Description:

Registering a ReBL patron follows the same procedure as registering regular patrons, with minor adjustments.

Please refer to section D2: Registering a Patron of the manual for instructions on how to register patrons.

Instructions:

To register ReBL patrons, please make these adjustments to the registration procedure.

  1. To begin the process, confirm that the patron's home town library is part of the ReBL program.

    Note:

    You can refer to the ReBL website at : http://essexcountyrebl.pbworks.com/



  2.  When assigning the barcode, use the patron's barcode from their home library; do not assign a new one.

  3. Enter the Barcode, Last name, First name.  You may also add a Middle name (if applicable), but be sure to add (ReBL) in the Middle name field, either after or in lieu of the middle initial or name.

  4. Select BCCLS – Non BCCLS Cooperation Branch (BCCLSOB1) from the Registered at drop-down menu.

  5. Selecting BCCLS – Non BCCLS Cooperation Branch (BCCLSOB1) as the Registered at library will automatically set the Expiration date to 1 year from day of registration.  Change the Patron Code to ReBL.



  6. Click the Add button in the Addresses, Phone Numbers section to add the patron's address.

  7. Enter the patron's home town zip code in the Postal code field to automatically generate the Country, City, County, State/province fields.  Enter the patron's street address.



  8. Proceed to complete the form by entering phone number, notification preference, email address, etc.

  9. Click on the General icon to change the New Patron Registration workform view from the Address and Phone view to the General view.



  10. Select the patron's county and town from the Statistical class drop-down menu.



  11. Move to the Password field and enter a password for the patron to use when accessing their account online.   Polaris requires data in the password field in order to save the record.



    Note:

    A password can have from 4 to 16 characters and can contain letters and/or numbers.



  12. When you are satisfied with the patron record you have created, click the Save icon, or type CTRL+S on your keyboard, or select File, Save.



  13. Polaris will now perform a duplicate patron check.  Polaris will check the patron's full name, phone number, and email address for matches.  If the check yielded possible duplicates, the Duplicate Patrons pop-up would appear.

Registering an Hudson County Patron (Hudson County Libraries Only)

Description:

Registering a Hudson County patron follows the same procedure as registering regular patrons, with minor adjustments.

Note:

Please refer to section D2: Registering a Patron of the manual for instructions on how to register patrons.

Instructions:

To register Hudson County patrons, please make these adjustments to the registration procedure.

  1. To begin the process, confirm that the patron's home town library is in Hudson County.

  2. When assigning the barcode, use the patron's barcode from their home library; do not assign a new one.

  3. Enter the Barcode, Last name, First name.  You may also add a Middle name (if applicable), but be sure to add (Hudson) in the Middle name field, either after or in lieu of the middle initial or name. 

  4. Select BCCLS – Non BCCLS Cooperation Branch (BCCLSOB1) from the Registered at drop-down menu.

  5. Selecting BCCLS – Non BCCLS Cooperation Branch (BCCLSOB1) as the Registered at library will automatically set the Expiration date to 1 year from day of registration.  Change the Patron Code to Hudson County.



  6. Click the Add button in the Addresses, Phone Numbers section to add the patron's address.

  7. Enter the patron's home town zip code in the Postal code field to automatically generate the Country, City, County, State/province fields.  Enter the patron's street address.



  8. Proceed to complete the form by entering phone number, notification preference, email address, etc.

  9. Click on the General icon to change the New Patron Registration workform view from the Address and Phone view to the General view.



  10. Select the patron's county and town from the Statistical class drop-down menu.



  11. Move to the Password field and enter a password for the patron to use when accessing their account online.   Polaris requires data in the password field in order to save the record.
