D: General Information


You can use the following URL to log in to collectionHQ: http://www.collectionhq.com/login/

Alternatively, you can go to www.collectionhq.com and click 'Login' in the top right hand corner, or go to the BCCLS Staff site and click on the collectionHQ button on the left.



Log in using one of the following email addresses for your library (Each library has two logins & libraries with a branch have a third login - the password is the same for each login)

Email Address:

  1. director@[yourlibrary].bccls.org      (Example: director@fortlee.bccls.org)
  2. [yourlibrarycode]circ@bccls.org     (Example: carlcirc@bccls.org)
  3. [yourbranchcode]circ@bccls.org    (Example: para2circ@bccls.org)


The password associated with each login is the same as your library's original Polaris password. This password is also provided during collectionHQ training. Please email collectionHQ@bccls.org if you do not know your password.


Main Menu

Upon logging in you will be presented with the main menu, which consists of four sections: Select, Manage, Promote, and Evaluate. When hovering your mouse over each section, you will see a set of sub-sections or modules, each with a variety of tools and reports. Once you click on a sub-section or module, you will be presented with all of its tools and reports, which are organized within drop-down menus on the left hand side of the screen. The main menu will remain accessible by clicking the collectionHQ logo at the top left of the screen, and each section will remain accessible at the top of the screen, next to the collectionHQ logo, along with a drop-down menu including links to each sub-section or module. 

In the top right hand corner of the main menu, there are links to Academy, Administration, and Log Out. These links will remain at the top of each screen in collectionHQ.



Academy is the help section for collectionHQ. There are detailed articles and videos for each tool and report within the Help and Training section, along with several in-depth user guides within the Other Resources section. There is a general User Guide, a Selection User Guide, a Discovery User Guide, and an Administration User Guide. Within Other Resources, there is also a drop-down menu of Webinar Recordings on a variety of topics, including one Training Webinar - collectionHQ for New Users. Academy also offers a Community section where you can discuss the product with other collectionHQ users.

In addition, when you are viewing any tool or report within collectionHQ, you can access the Academy help section for that particular tool or report by clicking on the question mark near the top right of the screen.



The Administration section is where you can access My Account to change your password, if you choose to do so. Cart Links can also be set up here, which is done prior to their use in Discovery (see the description for Select) when selecting items for purchase.


Basic Parameters

To begin using the individual tools and displaying reports within collectionHQ, certain parameters must be selected each time. Below is a list of the basic parameters you will be presented with, along with the recommended selection for each.


Dataset Name: In almost every case, choose the most recent dataset

Region Name: Choose All (libraries with branches are the exception)

Library Name: Choose your library

Aggregate By: Choose Library

Collection Code: Choose the area of your collection you are working with

Audience: Choose the audience level you want - All, Adult, Juvenile, Teen/YA

Class Range From: Choose the beginning of the Dewey range you are working with

Class Range To: Choose the end of the Dewey range you are working with

Category Filter: Choose All

Language: Choose All

Non-Fiction Collection Code: In most cases, choose All (and in most cases, also specify an Audience) - otherwise specify an area of the non-fiction collection

On Shelf: Choose Yes

New Entries Only: In almost every case, choose No

Report Basics

Within each of the individual reports in collectionHQ, there are several options for customizing and saving layouts to meet your needs or preferences.
