Minutes from the Diverse and Underserved Populations Committee Meeting
October 18, 2018

Held at Maurice M. Pine Library, Fair Lawn

Present: Yumi Choi, Kirsten Fagerlund, Lisa Hoffman, Deborah Leary, Kate Nafz, Kristin Nelson, Sara Rimassa, Melissa Singlevich

The meeting was called to order at 10:10 AM and Deborah Leary moved to approve the minutes of the September 13th meeting and all committee members were in favor.  

Committee updates: Victoria Hilditch has resigned from the committee.

Prison books: Kate will go with Sara to deliver books to the Northern State Prison after firming up proposed dates and times for delivery.  Also, Laura Leonard is collecting items for the Bergen County Jail; please reach out to her (leonard@wyckoff.bccls.org) if you have any soft cover books in foreign languages, especially Spanish, for donation.

Email blast: Yumi asked Sara to update the Libraries as Sanctuary Spaces email blast to include local information before it is added to the Knowledge Base.  Sara reported that there were five positive responses to the email.

The homeless-focused email blast will be sent after the event in November.  

The “Digital Divide” email blast will be composed and published in December, by Lisa.  

November Event Planning:

Yumi reminded everyone on the committee who can attend to sign up for the event.  So far there are 21 registered and the event is capped at 50.

BCCLS will take care of printing brochures, handouts, sign-in sheet, resources list and evaluation sheets.  

Yumi will follow up about protocol for invoicing the speakers, who will each be paid $100.00.  

Lisa had a phone conversation with one of the speakers, Julia Orlando, about the event.  Lisa will also create the program and follow up with all of the speakers for their bios to be included in the official event program and see if they want to distribute additional handouts.   

Lisa and Deborah will portray the homeless person and librarian, respectively, in the skit.

Lisa will moderate the program.  

Sara and Kristin will be stationed at the “attendee sign-in” table to provide name tags and encourage attendees to write their preferred pronouns.  

Deborah volunteered to be the timekeeper.  

Sara will make a welcome sign.

Food donation will be given to the Hasbrouck Heights Food Pantry (in same building as library) and will be collected at the attendee sign-in table.

There is ample parking at Hasbrouck Heights, though some areas are restricted to 2 hour parking. Attendees will be notified of these restrictions in the reminder email before the event.  

Committee members will arrive at 8:30 AM for set up, doors open/food will be available at 9:30 AM and the program begins at 10:00 AM

The meeting adjourned at 11:15 AM

Next meeting: Thursday, November 29th at 10:00 AM at the BCCLS office
